Portable Air Conditioning Rental Agreement – Cool Solutions 

This Rental Agreement (“Agreement”) sets out the terms under which Cool Solutions (“Company,” “we,” “us”) provides portable air conditioning equipment and related services to the undersigned customer (“Customer,” “you”). By scheduling installation, accepting delivery, or using the equipment, the Customer agrees to the terms of this Agreement. 

1. Equipment and Services 

Cool Solutions provides one portable air conditioning unit, a custom-fit polycarbonate (Lexan) window insert designed for venting, and standard installation and seasonal removal services. All equipment remains the sole property of Cool Solutions unless ownership transfers through a completed finance-to-own agreement. 

2. Rental Term and Pricing 

Seasonal Rental: 6-month term at $59/month or 8-month term at $49/month. Finance-to-Own: 12 months at $70/month, 18 months at $50/month, or 24 months at $40/month. Ownership transfers only after all payments are received in full. 

3. Installation and Setup Fee 

A one-time installation and setup fee of $150 is charged prior to scheduling the installation appointment. Once installation has been completed, this fee is non-refundable. 

4. Payment Authorization 

Customer agrees to maintain a valid payment method (credit card or bank information) on file and authorizes Cool Solutions to automatically charge all applicable payments and outstanding balances. Failed payments may result in late fees or equipment retrieval. 

5. Installation Conditions 

Installations are designed to be non-invasive and reversible. Customers agree not to alter the window insert, venting system, or equipment location. 

6. Proper Use of Equipment 

The equipment must remain upright and stationary, the exhaust hose must remain connected, airflow must not be blocked, and extension cords or power bars may not be used. 

7. Noise, Condensation, and Performance 

Portable AC units produce operational noise and condensation during normal use. Cooling performance depends on environmental conditions and is not guaranteed to achieve a specific temperature.

8. Maintenance and Service 

If a unit malfunctions, Cool Solutions may replace, service, or retrieve the equipment at its discretion. On-site repairs are generally not performed during peak season. 

9. Damage, Loss, or Theft 

The Customer is responsible for loss, theft, or damage beyond normal wear. Equipment condition is documented at installation and retrieval. 

10. Property Access 

The Customer must provide access for installation, service, and retrieval appointments. Missed appointments may incur additional charges. 

11. Building and Strata Compliance 

The Customer confirms installation is permitted by the building, landlord, or strata and agrees to coordinate removal if required. 

12. Early Termination 

Early termination does not eliminate payment obligations unless approved in writing by Cool Solutions. 

13. Limitation of Liability 

Cool Solutions’ liability is limited to repair or replacement of the provided equipment. 

14. Acceptance 

Digital acceptance, installation approval, or continued use of the equipment constitutes agreement to these terms. 

15. Governing Law 

This Agreement is governed by the laws of the applicable jurisdiction in which the installation occurs.
